Depot Privacy Policy

 

The Depot Community Food Centre (The Depot) is a non-profit organization that works collaboratively with other community partners to address issues of food security in NDG and the surrounding areas. 


The Depot is committed to maintaining the privacy of personal information, and to treat it with confidentiality and care. This privacy policy applies to the programs and services offered by The Depot and our website https://depotmtl.org/en/, and explains our privacy and security practices.

In this privacy policy, personal information means information that can identify an individual, directly or indirectly. 

Your privacy is our primary concern. Our goal is to ensure the confidentiality and security of the personal information you provide to us and to protect this information in accordance with applicable privacy laws. By continuing to browse our website or use our services, you are agreeing to our privacy policy. 

What personal information we collect: 

  • Names (first and last) 
  • Phone and/or email address 
  • Address 
  • Birth month and year
  • Any dietary restriction(s) you may share with us 
  • Payment information such as credit card number, expiry date and CCV code (if needed for a donation) 
  • Information about your use of our website, including cookies and other tracking technologies 

We may also collect personal information in order to comply with applicable legal and regulatory requirements, or for other purposes permitted by law. 

We use the information in order to: 

  • Deliver our programs and/or provide our services 
  • Contact you if you have made an inquiry, or have subscribe to our mailing list
  • Develop statistics and reports 
  • Process payments and tax receipts for donation 

This information is collected through online forms or in-person questions, and any correspondence (email, phone or letter) you have with us.

We may disclose your personal information for other purposes if we are required by law to do so, or if you give us your permission to do so. 

We maintain this information in a secure environment, and the information is maintained on servers that are located in either Canada or the United States.

Please note that the privacy laws in other jurisdictions may differ from Quebec privacy laws and may not offer the same level of protection as privacy laws in your jurisdiction. When information is stored or processed outside Quebec, it may be subject to the laws of those other jurisdictions and accessible by their authorities. In these cases, we have agreements with our service providers to ensure they comply with all applicable privacy laws. 

The people who will have access to this information are staff at The Depot, as well as selected volunteers, all of whom are required to agree to our confidentiality policy. We maintain the security of the information through various measures, including: 

  • Passwords 
  • Backups 
  • Firewalls and computer security software 
  • Access management by only authorized individuals 

In some cases, we may share personal information with third-party service providers performing services on our behalf, including providers of IT services, marketing services, and data hosting services.

We retain personal information only as long as necessary for the fulfillment of the purposes for which it was collected, or for legal or regulatory purposes. After this time, your personal information will be removed from all of our systems, or anonymized, which means that it can no longer be traced back to you.

We use temporary cookies on our website, but we do not store any permanent cookies on your computer. This may include the browser type, operating system, domain name, access times and referring website addresses. We use this data to gather broad demographic information about website users, diagnose problems with our systems and administer our website. We will not attempt to link or match this anonymous technical data with personally identifiable information, unless we (or our service providers) have obtained your consent or in accordance with applicable law.

Please note that if you request for your information to be removed, or wish to withdraw your consent, it may impact the services we can offer you. In some cases, applicable law may require us to refuse your request to access, modify or delete your information, or withdraw your consent. If we are unable to respond to your request, we will inform you of the reasons, subject to any legal or regulatory restrictions.

We reserve the right to change this privacy policy at any time. If we intend to use or disclose personal information for purposes materially different from those described in this privacy policy, we will make reasonable efforts to notify you, including by posting the revised privacy policy on our website.
